Privacy Policy

- Your client list is yours. We use it for one thing: running your scans and drafting your outreach.
- We never sell, rent, or share it with anyone. Not marketers, not other customers, not anyone.
- We never contact your clients. Your customer data is never used to reach them, for any reason.
- We never pull credit. Estimates come from your data plus public sources.
- Your data is always yours to take. Download a full copy anytime, and if you ever leave, we remove your client data completely.

1. Who we are
RefiAgent is a product of Bullhorn LLC ("we," "us"). It's software for licensed mortgage professionals that watches a loan officer's own closed loan database against public market data and drafts outreach for the loan officer to send. Questions about this policy: michael@getrefiagent.com.
2. Two kinds of data, treated differently
Your account data. What you give us to run your account: name, email, password (stored hashed), and billing details. Card numbers go straight to our payment processor. We never see or store them.
Your client data. The files you import: borrower names, loan amounts, rates, close dates, loan types, whatever your CSV contains. You control what's in the file. This data belongs to you; we process it only on your behalf and only to provide the service.
Usage data. Basic operational logs, such as logins, feature use, IP address, and device or browser info, used for security, debugging, and improving the product. We do not use third party advertising trackers.
3. How we use your data
- Run your scans: your imported loans checked against public market data (the latest published rate averages and FHFA home price data).
- Draft your outreach: emails and texts written for you to review and send yourself.
- Operate the service: authentication, support, billing, and service notices.
- Occasionally email you, the account holder, about the product. Unsubscribe anytime. Your clients are never emailed by us, ever.
4. What we never do with your client data
- Sell it, rent it, or share it for marketing.
- Contact the people in it, by any channel, for any reason.
- Pull credit or send it to any credit bureau or reporting agency.
- Combine it with other customers' data or use it to build shared datasets.
- Use it to train shared AI models.
5. AI processing
Outreach drafts are generated using third party AI infrastructure. Only the data needed to write the draft is sent, and our AI provider is contractually barred from using it to train its models.
6. Service providers
We use a small set of vetted providers to run RefiAgent. Each gets only what it needs:

7. Retention and deletion
We keep your data while your account is active. You can download a full copy at any time. If you delete your client data or cancel your account, it is removed from our live systems, and encrypted backups roll off automatically within 30 days. We keep backups only for redundancy and disaster recovery. Account and billing records may be retained longer where the law requires it.
8. Security
Encrypted in transit and at rest, isolated to your account, running on infrastructure that undergoes independent SOC 2 audits. The full picture is on our Security page.
9. Your rights
You can access, correct, export, or delete your data at any time, most of it directly in the app, and anything else by emailing michael@getrefiagent.com. We respond to verified requests within 30 days.
California residents: you have the rights described in the CCPA/CPRA, including to know, delete, and correct. We do not sell or share personal information as those terms are defined there, and we don't discriminate against anyone for exercising these rights.
If you're a borrower whose information was imported by your loan officer: that data is controlled by your loan officer, and your fastest path is asking them directly. You can also contact us and we'll delete verified records from our systems and point you to the right place.
10. Not for minors
RefiAgent is business software for licensed professionals. It isn't directed at anyone under 18, and we don't knowingly collect their data.
11. Changes to this policy
If we make a meaningful change, we'll email account holders and post the new date at the top of this page. We won't quietly weaken the promises in the short version above.
